Billing and your subscription

Understand the trial, pay with PayPal, mobile money or a card without shortening it, use coupons, get your invoices, and know what grace and read-only mean for your team.

What you’ll learn

  • Where your organisation stands: trial, subscribed, grace or read-only.
  • How to subscribe with PayPal, or pay by mobile money or card, and why paying early costs nothing extra.
  • Coupons, and where your invoices are.
  • How to change plan or cancel.
  • What still works when an organisation is read-only.

Who does what

Settings › Billing is the Org Owner's: only they subscribe, change plan or cancel. Admins can see the page; members don't see it. If it says Free for now or Complimentary, there is nothing to do.

Where you stand

The card at the top shows one of:

  1. Trial — everything works until the date shown.
  2. Subscribed — paid; the next payment date is shown.
  3. Cancelled — nothing more is charged; everything works until the end of what was paid.
  4. Grace period — the trial or paid period ended without payment. Everything still works for 7 more days, with a warning on every page.
  5. Read-only — after the grace period.

Subscribe

Example: Acme Logistics is on a 30-day trial with 12 days left. Kofi, the Org Owner, subscribes now so nobody is interrupted.

  1. In Settings › Billing, under Choose a plan, pick Monthly, Quarterly or Yearly — longer plans show what they cost per month.
  2. Click Subscribe with PayPal.
  3. Approve on PayPal's page with a PayPal account or a card. You come back to Livra.

Subscribing during the trial doesn't shorten it: the first payment is taken when the trial ends. Kofi loses none of his 12 days.

If you close PayPal without approving, nothing is charged. If the page doesn't show the subscription after paying, click Check with PayPal.

Tip: subscribe a week before the trial ends. You keep the remaining days and avoid the grace-period warning on everyone's pages.

Pay by mobile money or card

When the platform offers it, Pay by mobile money or card lets the Org Owner pay 1, 3 or 12 months ahead with MTN MoMo, Orange Money and other mobile money, or a card, on Flutterwave's secure page.

  1. Pick the months, and type a discount code under Coupon if you have one.
  2. Click Pay with Flutterwave and confirm — on your phone, for mobile money.
  3. Back in Livra, the page says Paid and until when.

These months start after the trial or what's already paid, and the Org Owner is reminded 5 days before they end. Mobile money doesn't renew by itself: pay the next period before then.

Coupons and invoices

  • A code with free days goes in the Coupon card (Apply): the days are added at once. A code with a percentage off is typed when you pay by mobile money or card. Each organisation uses a code once.
  • Every payment has a PDF invoice under Invoices — it is also the receipt. Fill in Billing details (legal name, address, tax ID, invoice email) so new invoices carry them.

If PayPal or Flutterwave took a payment but Livra didn't record it, open Settings › Billing › Paid, but it didn't show up? and Report a payment: pick the unfinished payment (or describe it), give the provider's reference (PayPal's Transaction ID, or Flutterwave's transaction ID or dm-… reference) and add the receipt or a screenshot. Livra asks the provider again at once; otherwise the Platform Owner checks it. Once validated, your months or credit are added with an invoice and everything carries on as normal.

Change plan or cancel

  • Change plan in PayPal — PayPal asks you to approve the new price, which applies from the next payment.
  • Cancel subscription — type your organisation's name to confirm. Nothing more is charged; everything keeps working until the end of what's paid, then 7 days of grace, then read-only. Nothing is deleted, and you can subscribe again later.

Read-only

When grace ends without payment:

  • everyone can still open everything: features, plans, documents, settings;
  • nothing can be changed or run: no new features, steps, chats or setting changes;
  • still possible: the Org Owner paying, signing out, password and two-step changes, notifications, display preferences, stopping a run, and reporting a problem.

As soon as a subscription is active again, everything works as before.

The Org Owner is reminded once each — in the app, and by push or WhatsApp if they chose: the trial ends in 3 days, grace started, read-only, and a payment failed. When a payment fails, update the payment method in PayPal; PayPal tries again.

Tip: if the Org Owner is leaving, hand over ownership first. The new owner then manages billing; the PayPal account that pays doesn't change by itself.

Check yourself

1. You subscribe on day 20 of a 30-day trial. When is the first payment taken?

When the trial ends — subscribing doesn't shorten it.

2. Can an admin cancel the subscription?

No. Admins can see Settings › Billing; only the Org Owner subscribes, changes plan or cancels.

3. You paid 3 months by mobile money. Will it renew by itself?

No. You're reminded 5 days before the end; pay the next period before then.

4. The organisation is read-only. Can people still open their plans and documents?

Yes. Everything can be opened; nothing can be changed or run.
